For Erasmus+ coordinators

What we take off your desk when a colleague from your school joins one of our courses, and the Programme Guide rules worth keeping at hand.

What you can count on

Our commitments

Before approval

Reserve a date, pay nothing yet

You can request a date before your project is approved. Nothing is charged when you apply; payment is due at least one month before the course starts.

If plans change

Free move to a later session

If your grant is delayed or cancelled, your participants can move to any later session free of charge. Cancellations made 30 or more days before the start date receive a full refund.

One person

One contact for your school

Your school deals with one contact person at EMA, from the first request to the last document, for every colleague you send.

Paperwork

Every document your file needs

Invitation letter, Learning Agreement, proforma invoice and invoice, a daily attendance record, the Certificate of Attendance and the co-signed Europass Mobility document.

What your project file needs

For staff mobility in school education, the Programme Guide asks for one document before the activity and one after:

  • Before: a learning agreement between the sending school, the host and the participant. For courses and training, the course programme can be used in its place. We prepare the Learning Agreement once the registration form is in, and every course page offers its programme as a PDF.
  • After: the learning outcomes are recognised with a Europass Mobility or a similar document, and your school keeps a copy as proof that the activity took place. We co-sign the Europass Mobility with your school; our Europass Mobility guide shows how.

Your National Agency may also require a grant agreement signed with each participant.

How the grant for one participant is built

In Key Action 1 school education projects (short-term and accredited), a member of staff on a course is funded through four lines, all paid as unit costs. The unit costs are set to cover 80% of actual costs on average.

  • Course fees: 80 EUR per participant per course day, so 400 EUR for a five-day course.
  • Organisational support: 100 EUR per participant on a course.
  • Travel: a fixed amount by one-way distance band, measured with the Commission's distance calculator. For 500–1999 km it is 309 EUR, or 417 EUR with green travel.
  • Individual support: a daily amount that depends on the host country. Each National Agency sets the exact rate within the range in the Programme Guide, so check your agency's own table.

Follow-up is 30 of the 100 points

A short-term school project (KA122) is scored on relevance (20 points), quality of project design (50) and quality of follow-up actions (30). To be considered for funding it needs at least 60 points and at least half of the points in each criterion. Follow-up covers:

  • tasks and responsibilities in line with the Erasmus quality standards;
  • concrete steps to bring the results into the school's regular work;
  • a way to evaluate the project's outcomes;
  • sharing the results inside the school, with other organisations and the public, and acknowledging the EU funding.

Every participant leaves our courses with a Dissemination & School Impact Plan for their own school.

Before you apply: one OID

For actions managed by National Agencies, your school registers once in the Organisation Registration system and receives an Organisation ID (OID). Entering it in an application form fills in your school's details automatically, and you can check or update them in the same system.

  • Using another organisation's OID needs that organisation's explicit consent.
  • Several OIDs for the same organisation can lead to rejection.
  • An application with an invalid OID is rejected as inadmissible.
