Site use
You may browse the site and use the forms to enquire about or apply for our courses. You agree not to misuse the site (e.g. attempting to disrupt it, scraping content for resale, or submitting false information in forms).
Course & job-shadowing applications
Submitting a registration or job-shadowing form is an application, not an automatic confirmation. We will contact you to confirm your place, dates and any required documents.
Course duration, hours and price shown on the site are indicative; the confirmed price and dates are those stated in your written confirmation/invoice from us.
Cancellations & refunds
1. Purpose
This policy sets out the procedures for course registration cancellations, course changes, cancellations initiated by EMA, and fee refunds. It is intended to give participants clear, transparent and fair conditions, in line with the EU’s Quality Standards for Key Action 1 courses.
2. Registration and Confirmation
Registration is confirmed once the application form is completed and the registration fee is paid. By registering, the participant accepts this Cancellation & Refund Policy.
3. Cancellations by the Participant
- 30 days or more before the course start date: full refund of the course fee paid. Bank transfer charges or third-party payment provider fees, if any, may be deducted from the refunded amount.
- 15–29 days before the course start date: 75% of the course fee paid is refunded.
- 7–14 days before the course start date: 50% of the course fee paid is refunded.
- Less than 7 days before the course start date: no refund. At EMA’s discretion, the participant may instead be transferred free of charge to a future course date, or send a substitute participant.
4. Substitution of Participant
With written notice at least 5 working days before the course start date, the registered participant may be replaced by another person who meets the same eligibility requirements, at no extra cost.
5. Rescheduling Requests
With a written request at least 10 working days before the course start date, a participant may transfer their registration to a later course date once, free of charge. Further requests are subject to EMA’s discretion.
6. Changes Made by EMA
Significant changes to the course: if there is a significant change to the course content, duration, language of instruction, venue or dates, the participant may choose to accept the change, transfer to another course date, or request a full refund.
Cancellation of the course: if EMA cancels the course, the participant receives a full refund of the course fee, or — at the participant’s request — is transferred to another course date.
7. Force Majeure
Natural disasters, war, epidemics, government decisions, serious transport disruption and other events beyond the reasonable control of either party are treated as force majeure. In such cases, EMA may postpone the course, offer an alternative date, or issue a full or partial refund. Each case is assessed individually to minimise inconvenience to the participant.
8. Refund Process
Refund requests must be submitted in writing. Refunds are processed within 14 working days of approval, using the original payment method or the bank account specified by the participant.
9. Transparency
This policy is made available to participants before the registration process begins. EMA is committed to providing clear and accurate information about fees, the scope of services, cancellation conditions and any possible additional costs.
Erasmus+ funding
Course fees relate to the training itself; travel, accommodation and subsistence are typically funded through your institution’s Erasmus+ grant, subject to your National Agency’s rules — EMA is not responsible for grant approval or disbursement timing.
If your grant approval is delayed or your application is not approved, you may transfer your registration to a later course date free of charge (see Rescheduling Requests above), or cancel under the standard cancellation schedule above.
Intellectual property
All content on this site (text, course materials, images, logos) belongs to Erasmus Mobility Academy or its licensors and may not be reproduced without permission.
Limitation of liability
We aim to provide accurate information but are not liable for indirect or consequential losses arising from use of the site, except where liability cannot be excluded by law.
Governing law
These terms are governed by the laws of the Republic of Türkiye.
